Flexible office hours - 42.5 hrs per week with 1/2 unpaid lunch
We are looking for a Field Service Co-ordinator to join us!
Working within the field service engineering department, direct impact on the key processes and factors that influence customer satisfaction.
As interface between the Bus customers, the regions field service engineers and the dealers the role provides a point of contact for the customer and dealer network covering planning, VOR and additional work requirements.
- To ensure that all service, repair, campaign and other work identified through Volvo, customer and or other systems is planned and allocated in accordance with both Manufacturer, VOSP and customer requirements, and that all work is completed to time.
- To ensure the identification, planning and distribution of parts to the field-based engineers in support of all allocated work demands.
- Ensure that all planned and identified work is converted into a work instruction with all relevant supporting documentation.
- To ensure whenever necessary that repair authorisations and order numbers are sought in advance.
- Manage, maintain and communicate all work plans to customers and field service engineers.
- Confirm and agree details of planned & unplanned visits with customers, including re-plan of any outstanding defects.
- Produce VOR communication report for selected customers.
- Proactively promote benefits and up-sell products and services to the customer including service point on-line
- Assist where necessary with the invoicing to reduce WIP.
- Produce and explain invoice to customer at point of pro-forma, resolve any queries or objections on a timely basis.
- Follow up after service / repair visit to check customer satisfaction as per WPP process.
What we are looking for
- Experience in field service coordination, technical support, or service operations
- Strong organizational and communication skills
- Technical understanding of trucks, buses, or heavy vehicles (or a strong willingness to learn)
- Ability to manage multiple priorities in a fast-paced environment
- Customer-focused mindset with a collaborative approach
- Proficiency in relevant systems and tools (service management systems an advantage)
